FIRST, A QUESTION OF FIT

Do you pay subcontractors against an agreed schedule and rate, or against the hours they actually worked?

Agreed schedules and rates

This is the workflow we support: checking scheduled services against the rates agreed for them. Relevant to cleaning, facilities, maintenance and trades operations.

Actual hours worked

Billing based on actual hours worked is not supported today. Tell us about your process if you’re unsure which applies.

FROM MANUAL CHECKING TO A CLEAR REVIEW

Keep the evidence
with the question.

01

Bring invoices in

Invoices arrive in mixed formats. Retrieve them through the live Xero connection.

02

Compare the records

Bring together Servis schedule records and the agreed rates held in the platform.

03

Review the variance

See the expected charge beside the invoice. A person checks the supporting details and decides what to do.

A variance is a review prompt, not proof of overcharging. Schedules or rates may need correcting. The platform does not automatically approve or pay invoices.

CURRENT CONNECTIONS

Xero + Servis.
Both live.

Xero connects your invoices. Servis connects your schedule records. Agreed rates are held in the platform.

Use another system? We offer assessment and implementation based on your workflow and available data access. Other connectors are not included by default.

A CLEAR COMMERCIAL SHAPE

Implementation, then subscription.

A one-off implementation gets your rates, sites and schedule data into the platform, followed by a monthly subscription. Implementation is quoted after a short workflow review—typically a single call—because the work depends on how your rates and schedule are currently recorded.

Your subscription includes

  • Hosting, processing and maintenance
  • Defect fixes
  • A monthly allowance of support and minor changes
  • Quarterly reviews

Additional work is scoped and quoted separately.
